How to register?
The registration is now open! Please follow the link below to the registration system.
- Each paper accepted to the conference—whether in the main track, doctoral consortium, or posters/demos track—must be covered by the registration of at least one of its authors (student or professional, depending on who will be attending)
- Author registration deadlines:
- Main track and Doctoral Consortium papers: registration by April 30
- Posters and Demos: registration by May 2
- Workshops: registration by May 9
- Please note that each author registration covers one paper only.
- Please mark your registration with the EasyChair paper ID

Pricing and Deadlines
- The full conference ticket includes access to the pre-conference program (workshops, tutorials, doctoral consortium), a welcome reception, and a gala dinner.
- If you want to attend the HHAI Summer School, you need to purchase a full conference ticket.
- If you plan to only attend workshops but not to join the main conference, there are “Workshops only” tickets available. Attending both days requires two tickets.
- All prices are in EURO and include Italian VAT (22%), which is refundable for Italian and international organizations in accordance with the VAT-rules applying in their respective countries. Refunds must take place in the home country of the participant’s organization.

Cancellation and Changes
- Cancellations must be submitted in writing to aic@aicgroup.it. with object: “Cancellation of Registration HHAI2025 Name Surname Registered”
- Cancellations received 30-59 days before the event (between April 14 and May 10, 2025) are subject to an 80% cancellation fee, while no refunds will be granted for cancellations received less than 30 days before the conference (after May 10, 2025).
- Registrants should be aware that registrations are non-transferable. Substitutions for registered participants are not permitted under any circumstances.
- The conference organizers reserve the right to cancel sub-events happening on the pre-conference days and the satellite events if they do not reach the minimum number of attendees. If an extra fee was paid for a cancelled sub-event, the fee will be refunded.
- In case of conference cancellation for reasons beyond the control of HHAI 2025 organizers, the liability of the HHAI 2025 organizers is limited to refunding the conference fees already paid by the registrants. HHAI 2025 organisers will not be responsible for any personal inconvenience that may arise
Entry visa invitation letter
Please note that entry visa invitation letters are only possible if you have an accepted submission. Please expect around 5 business days for processing time. If you need an invitation letter, please send an email to registration@hhai-conference.org with the following information:
- Full name (as shown in passport) + date of birth
- Home Address
- Title(s) and type(s) of accepted submissions
- Your registration number if you’ve registered already (optional)
